Chargebacks for rental car charges: how and when

A chargeback is not a magic refund button, but for unsubstantiated rental charges it is the tool with real teeth: the burden flips to the merchant to document the charge through the card scheme.

When a chargeback fits

The charge appeared after return and the company cannot or will not produce condition reports and a final repair invoice; the amount differs from anything you agreed; admin fees were stacked without contractual basis; or you were charged despite a clean signed return.

It fits badly when you signed acceptance of the damage at the desk, or the charge matches the agreement you signed โ€” then the complaint/conciliation route is stronger.

How to file one that sticks

Call or message your issuer, say you want to dispute a card transaction, and give the reason as "merchant unable to substantiate the charge / goods & services not as described".

Attach a short timeline plus exhibits: your demand-for-evidence email, the company's response (or silence), your pickup/return photos, the rental agreement. Banks approve documented disputes and reject vibes.

Deadlines and pushback

Card schemes generally allow around 120 days from the transaction โ€” treat day 90 as your practical deadline. The complaint process does not pause it, so run the two in parallel.

If the bank rejects a well-documented dispute, ask them to state the specific scheme rule relied on, then take it to your national financial ombudsman โ€” that second look is free and frequently reverses first-line rejections.

Never pay a surprise damage charge again
